Squadli is a matchday and training companion for grassroots football coaches. This page explains, in plain language, what information Squadli holds, why, and what your rights are. For any question about your data, email privacy@squadli.app.

Who we are

Squadli runs the app at app.squadli.app and the website at squadli.app. For anything to do with your data, contact privacy@squadli.app.

What Squadli holds about you (the coach)

• Your email address and password. The password is stored in protected form by our sign-in provider - nobody at Squadli can read it.
• Your name and your role on the team (admin or coach).
• The approximate place you signed up from - town, county and country, worked out once from your internet connection when you join a team. This is recorded one time only. It is never updated afterwards and Squadli does not track your location. We use it to understand where Squadli is being used.
• A log of key account actions (for example approving a coach's request to join). Keeping a record like this is standard practice for any service with sign-ins.

What Squadli holds about players

Coaches type in their players' details, and coaches decide what to type. A first name is enough for everything in the app.

For each player, the app stores:

• The name the coach entered.
• Playing position.
• Availability for sessions (available, injured, sick, and so on).
• Attendance records - marked in at the start of a session and collected at the end.
• Match records - goals, saves, cards, minutes played, started or sub, captain, notable performances, and game ratings if the team uses them.
• Development assessments, if the team uses them - rated skill areas and the coach's written comments.
• Session notes, if the coach writes them - free-text notes that can be tagged to a player.

The team's age group (for example Under 9s) is stored against the team, not against any individual child.

If your team uses the trials feature, the names and assessments of trialists are stored in the same way.

A note on written notes and comments: these are the coach's own words about a named child. Write them as if the child's parents were reading over your shoulder - because on request, they can be.

What Squadli holds from the website

If you fill in the register-interest form on squadli.app, we store the name, email address, team name and age group you gave us, and use them only to contact you about Squadli.

Why we're allowed to hold this data

The law requires a reason for holding personal data. Ours are simple: we hold coach account details because that's what running your account requires. Coaches hold player records because running a team requires them. And if you gave us your email on the website, that's because you asked us to contact you - and you can withdraw that any time.

What Squadli deliberately does not do

• No advertising, and no selling or renting of data - ever.
• No analytics or tracking scripts. The app contains none.
• No advertising cookies. The only thing kept in your browser is your sign-in and a working copy of your team's data so the app works with no signal at the pitch.
• No photos, no birthdates, no addresses, no live location tracking.
• No computer-made judgements. Every rating, score and note in Squadli is a coach's own opinion - nothing about a player is ever decided by an algorithm.

Where your data lives

Your team's data is stored in a database hosted in the European Union. Data travels between your device and the database over an encrypted connection, and each team's data is walled off from every other team's. A working copy also lives on your own phone or laptop so the app keeps working offline; it syncs back when you're in coverage.

Who can see your team's data

Only the coaches on your team - and every coach must be invited or approved by your team's admin. Coaches on other teams cannot see your data.

The people who run Squadli can access the database only to operate, support and fix the service, and for nothing else. Squadli does not sell, rent or pass on your data. The only other organisations that handle any of it are the services Squadli is built on, listed below - and we would disclose data beyond that only if the law required it.

The services Squadli runs on

• Our database and sign-in provider - stores your team's data and handles secure sign-in. Hosted in the European Union.
• Our website host - serves the app and website. Like any website host, it briefly processes your internet address to deliver pages, protect against abuse, and work out the one-time signup location above.
• Our email delivery service - sends Squadli's emails (coach invites and password resets), so it handles the email addresses those are sent to. The emails are sent from within the EU, but the service stores the email addresses it sends to on servers in the United States, under the legal safeguards the EU approves for this.

Each of these processes only what it needs to do its job.

Exports and sharing

Team sheets, availability lists and match reports can be exported as images or spreadsheets. These are created on your own device, and once you share one, that copy is in your hands - so think before sending anything that names children beyond your coaching team.

How long we keep data, and how to delete it

Your team's records are kept while your team uses Squadli, so season history and stats keep working. When a coach is removed from a team, their membership is deleted. Players can be removed or deleted by the team's admin in the app.

If a parent or guardian asks for a child's information to be removed, the child's personal details are deleted but the team's match facts are kept - the scoreline of a past game doesn't change because a player has left. What goes is the child's name and everything written about them; what stays is the result.

Details from the website's register-interest form are kept until you tell us to stop contacting you, or until Squadli is open to everyone and the waiting list isn't needed. The account-actions log is kept for as long as your account exists.

To have a player's records, your account, or your whole team deleted, email privacy@squadli.app and it will be done within one month.

Your rights

You can ask us at any time:

• what information Squadli holds about you or your players;
• to correct it;
• to delete it;
• to pause or stop using it;
• for a copy to take with you - the app's own exports do this.

Email privacy@squadli.app. If you're not happy with our answer, you can complain to the Data Protection Commission (Ireland) at dataprotection.ie.

Parents and guardians: the coaches on your child's team control what's entered about your child. Ask them first - or email us directly and we'll help.

Children

Squadli is an app for coaches, not children - children never use it. The information coaches record about their players is handled with the extra care children's data deserves, as this policy describes.

Changes to this policy

If this policy changes, the new version will be posted here with the date at the top. If a change matters, we'll say so plainly rather than bury it.
